Upload and manage documents for your assets

You can upload and view documents associated with your refrigeration unit and asset on the Documents tab of the Asset Details screen. This enables you to keep documents like inspection reports, Piek reports, registrations, and temperature calibration certificates directly linked to your asset and easily accessible whenever needed.

Accessing Asset Documents

The Documents tab is available to users with appropriate permissions on the Asset Details screen.


Documents List

On the Documents tab, you will see a list of user-uploaded documents associated with the asset.

A message will indicate if no documents have been uploaded for the asset yet.

The columns in the Document List include:

  • File Name - can be clicked to download the file

  • Category - user-specified categorization for the document

  • Format - file type

  • Upload Date - date and time the file was added to the asset

  • Modified By - the user ID who added the file

  • Use the date range field at the top to filter the list and show only documents uploaded during a specific date range.

  • Use the search box to look for files using a specific character string.

  • Click on a column header in the list to sort the contents of that column.


Uploading Documents

To upload one or more documents, click the Upload button at the top of the Documents tab.

Click the Upload button to browse your device and select one or more files to upload. The allowed file types are:

  • Image files (.JPEG, .PNG, .GIF, .BMP, .TIFF, .SVG)

  • Text files (.TXT)

  • Portable Document Format (.PDF)

  • Microsoft Excel (.XLS and .XLSX)

  • Microsoft PowerPoint (.PPT and .PPTX)

  • Microsoft Word (.DOC and .DOCX)

  • Compressed Files (.ZIP)

Once you select the files, you will be prompted to select a category for each file.

Each file's upload status will show after clicking the Upload button on this modal. The three statuses are:

  • In Progress

  • Successful

  • Error


Document Actions

Several actions can be taken on an existing document in the list. These actions are:

  • View/Download the Document

  • Edit Attributes (name and category)

  • Delete Document

Download

Click the actions menu (triple dots icon) in the last column and select Download action to save a file to your local storage.

Edit Attributes (File Name and Category)

Click the actions menu (triple dots icon) in the last column and select Edit Attributes action to edit your documents file name and category.

Edit a document's category by clicking on its category in the Category column and selecting a desired value.

Delete

Click the actions menu (triple dots icon) in the last column and select Delete action to delete a document from an asset. You will be asked to confirm that you want to delete the document.
